If you’re planning a trip to Rome, one of the best things you can do is leave a little flexibility in your itinerary. Timed-entry attractions like the Vatican Museums, transportation delays, and even completely unexpected moments can change the flow of your day. That doesn’t mean your vacation is ruined. In fact, some of the best travel memories begin when the original plan falls apart. One day in Rome reminded me that thoughtful planning isn’t about controlling every moment. It’s about creating a trip that’s resilient enough to adapt when life has other ideas.
Planning the Perfect Day in Rome
I’m a planner.
Actually, that’s probably an understatement.
When my family traveled to Rome, I had planned that day down to the minute. If you’ve ever traveled with four other people, you know that takes some work.
I had spent hours researching Vatican tours. I compared reviews, read countless itineraries, looked for knowledgeable guides, and carefully selected a tour that included everything we wanted to see without wasting precious vacation time. It was one of those reservations I felt really good about because I knew the research had paid off.
Then, just before our visit, our tour company moved our reservation to the afternoon.
No problem.
We adjusted our plans. We decided to spend the morning shopping through some of Rome’s beautiful boutiques before grabbing lunch and heading to the Vatican. My husband volunteered to take everyone’s shopping bags back to the hotel while the rest of us finished shopping.
Simple enough.
Except he didn’t go straight back to the hotel.
Without telling me, he decided getting a haircut in Rome sounded like a great idea.
The boys apparently knew.
I did not.
When Everything Went Sideways
As we stood outside waiting for our Uber, my middle son suddenly looked horrified.
A bird had chosen him as its target.
Not just a little bird poop.
I’m talking about the kind that somehow landed in his hair, ran down his face, onto his arm, and even into his watch.
Our carefully planned schedule instantly disappeared.
Instead of heading toward the Vatican, we piled into an Uber so he could rush back to the hotel for a shower while the rest of us tried to salvage lunch.
Then we realized my husband wasn’t at the hotel.
That’s when I learned about the haircut.
By the time he finally met us, there was another surprise.
He had forgotten all of our shopping bags.
At the barber shop.
While we were trying to figure out how to retrieve the bags, our Uber kept getting delayed, then canceled, then delayed again. Every minute that passed made it less likely we’d reach the Vatican before our tour departed.
Just when I thought the day couldn’t become any more ridiculous, another bird decided my husband looked like an excellent target too.
There he stood in the middle of Rome, shirt off, using baby wipes to scrub bird poop off his shoulder while I was on the phone with the tour company explaining why five otherwise responsible adults were about to miss one of the most important reservations of our trip.
I wish I were making this up.
Needless to say, our perfectly orchestrated plan had completely unraveled.
We Still Made It to the Vatican
Thankfully, the story doesn’t end there.
We were able to reschedule our Vatican tour for the following day. It wasn’t the carefully orchestrated plan I had spent hours creating, but in the end, we still experienced everything we’d hoped to see.
Looking back, I barely remember missing our original tour.
What I remember is laughing with my family about the day when two birds, a spontaneous Roman haircut, forgotten shopping bags, and a series of canceled Ubers somehow became one unforgettable Roman adventure.
That experience reinforced something I now share with my clients all the time.
Thoughtful planning isn’t about controlling every moment. Travel has a way of reminding us that no matter how carefully you’ve prepared, unexpected things can happen. Flights get delayed. Weather changes. Tours get rescheduled. Transportation falls through. And apparently, birds have terrible timing.
The goal isn’t to create a perfect itinerary.
The goal is to create a trip that’s flexible enough to absorb the unexpected without letting it define your vacation.
Why Having Someone in Your Corner Matters
It’s also one of the reasons I believe so strongly in the value of working with a travel advisor.
If this had happened to one of my clients, they wouldn’t have been standing on a Roman sidewalk trying to juggle canceled Ubers, missed tour times, forgotten shopping bags, and frantic phone calls to a tour operator. They would have had someone back home making those calls, exploring alternatives, working to reschedule tickets, and helping find the best solution while they focused on enjoying their vacation instead of trying to solve problems.
That’s one of the parts of my job people rarely think about. Long before you leave home, I spend hours researching destinations, comparing hotels, evaluating tour operators, and thoughtfully building an itinerary around the way you like to travel. But my work doesn’t stop once your suitcase is packed. If something unexpected happens while you’re away, you have someone who already knows your itinerary and can help you navigate the situation instead of starting from scratch.
Because in the end, the goal isn’t perfect travel.
It’s meaningful travel.
Sometimes that means watching the sunset over the Vatican.
Sometimes it means laughing until your sides hurt about the day your family was outsmarted by two birds in Rome.
Years from now, I have a feeling we’ll remember both.
Three Lessons I’ll Take on Every Future Trip
Every trip teaches us something, and this one certainly did.
- Leave a little breathing room in your itinerary. Some of the most memorable experiences happen when you aren’t rushing from one reservation to the next.
- Don’t let one unexpected moment define your vacation. Rarely do things go exactly according to plan, and that’s often where the best stories begin.
- When you’re investing in a special trip, it’s nice to have someone in your corner. Whether it’s rescheduling a tour, finding an alternative, or simply knowing who to call, having support can turn a stressful situation into a minor detour instead of a major disappointment.
